Invoice regular cleaning clients automatically with Xero repeating invoices
- Set-up time20 min

The problem
You send the same invoice to the same clients every week or month.
The result
Xero creates and emails each invoice on schedule without you touching it.
How to set it up: Xero
- In Xero, go to Invoices and open the Repeating tab, then create a new repeating invoice.
- Set how often it repeats, the first invoice date, the due date and (optionally) an end date.
- Add the client, the cleaning service line and the price.
- Choose "Approve for sending" so each invoice is approved and emailed automatically, or "Save as draft" if you want to check each one first.
- Optional: add GoCardless so each invoice is collected by Direct Debit (see the GoCardless + Xero recipe).
Get AI to help you build it
Paste this into ChatGPT, Copilot, Gemini or Claude:
Write a short, friendly UK-English email message for a weekly cleaning invoice. Include placeholders for the client name, invoice number, amount and due date, and one line thanking them.
AI tools can get menu names wrong. Check against the sources below.
Before you start
- Partly verified: Xero's own page confirms automated repeating invoices. The exact button names ("Approve for sending", "Save as draft") come from Xero Central community posts and an accountant's guide, so check them in your Xero.
- Remember to update the template when your prices change.
