The problem
Late payers need chasing, and paying for an extra automation tool just for reminders feels wasteful.
The result
Xero emails customers about unpaid invoices on the schedule you set, and stops once the payment is reconciled.
How to set it up: Xero
- In Xero, open Invoices (under the Sales or Business menu, depending on your Xero version).
- Select Invoice Reminders to open the reminder settings.
- Tick "Email customers when an invoice is…" and set when reminders go out, before or after the due date.
- Edit the wording so it sounds like you, and keep it polite.
- Make sure your bank feed is connected and you reconcile regularly, so customers who have paid don't get chased.
Get AI to help you build it
Paste this into ChatGPT, Copilot, Gemini or Claude:
Rewrite these three Xero invoice reminder emails in plain, friendly UK English for a one-person electrician: one 7 days after the due date, one at 14 days, one at 21 days. Keep the Xero placeholders I paste in exactly as they are. Under 80 words each.
AI tools can get menu names wrong. Check against the sources below.
Before you start
- Only switch this on if your invoices reliably get marked paid in Xero, otherwise paying customers get chased.
- Not verified on Xero's own pages: the default timings (7, 14 and 21 days) and the maximum number of reminders. These come from third-party guides, so check the settings screen in your own Xero.
- If you need more control (for example a text message or a different sender), see the Zapier chaser recipe.
