Post approved ServiceM8 invoices to Xero, and see payments back in ServiceM8

The problem

Finished jobs sit in ServiceM8 while the office re-keys invoices into Xero.

The result

Approving an invoice in ServiceM8 sends it to Xero. Payments recorded in Xero sync back to ServiceM8 within 30 minutes.

How to set it up: ServiceM8 Xero add-on

  1. In ServiceM8, turn on the Xero add-on and connect your Xero organisation.
  2. When a job is done, approve its invoice on the Invoicing page. Approval is what sends it to Xero.
  3. Record the payment in Xero (or let a payment service do it). It syncs back to ServiceM8 within 30 minutes.
  4. Contacts and items you keep in Xero sync into ServiceM8 within 30 minutes, so keep your price list in Xero.

Get AI to help you build it

Paste this into ChatGPT, Copilot, Gemini or Claude:

I run a small UK electrical business on ServiceM8 and Xero. Write me a one-page office checklist for the ServiceM8 Xero sync: when to approve invoices, what happens to zero-value invoices, and why invoices created directly in Xero won't appear in ServiceM8. Base it only on ServiceM8's 'How the sync with Xero works' article.

AI tools can get menu names wrong. Check against the sources below.

Before you start

  • Zero-value invoices are not sent to Xero.
  • Invoices you create directly in Xero are not sent to ServiceM8. Raise them in ServiceM8.
